2. Information we collect2. 取得する情報

• Student: name, school, grade, date of birth or age, email, preferred language, subjects, goals, and any context you give us.生徒：氏名、学校名、学年、生年月日または年齢、メールアドレス、希望言語、科目、目標、ご提供いただいた背景情報。
• Parent or guardian: name, email, phone, relationship to the student, billing details needed for invoices.保護者：氏名、メールアドレス、電話番号、生徒との続柄、請求に必要な情報。
• Learning records: the written plan, lesson notes, marked practice, progress summaries, attendance, test and diagnostic results.学習記録：書面の計画、授業の記録、添削した練習、進捗のまとめ、出席、テストや診断の結果。
• Application materials that the student chooses to share for feedback, such as essay drafts and activity lists.生徒がフィードバックのために共有した出願資料（エッセイの下書き、活動リストなど）。
• Payment: payments are made by bank transfer. We do not store card numbers. We keep transaction records (amount, date and service).支払い：銀行振込でお支払いいただきます。カード番号は保存しません。取引記録（金額、日付、サービス）は保持します。
• Technical: this website uses no analytics or advertising cookies. It stores one preference (your language) in your browser.技術情報：本サイトはアクセス解析や広告用のCookieを使用しません。言語の設定のみをブラウザに保存します。

3. Why we use it3. 利用目的

• To arrange and deliver the student’s lessons or mentoring.生徒の授業やメンタリングを調整し、提供するため。
• To write and update the plan, notes and progress summaries, and to share them as agreed with the student and parent.計画、記録、進捗のまとめを作成・更新し、生徒および保護者と合意した方法で共有するため。
• To schedule sessions, send confirmations and reminders, and respond to enquiries.セッションの日程調整、確認や通知の送付、お問い合わせへの対応のため。
• To issue invoices, process payments and keep the accounting records the law requires.請求書の発行、支払いの処理、法令で求められる会計記録の保存のため。
• To handle concerns, safeguarding issues and disputes.懸念事項、安全に関する問題、紛争への対応のため。

We do not use student information for advertising, and we do not sell it.生徒の情報を広告に利用したり、販売したりすることはありません。

4. Who sees it4. 共有先

• Alex, the current tutor and mentor, sees the information needed to teach: the student’s name, grade, school, goals, the plan, notes and shared materials. Any additional tutor engaged in the future must sign a code of conduct including confidentiality.現在の講師・メンターであるアレックスは、指導に必要な情報（生徒の氏名、学年、学校、目標、計画、記録、共有された資料）を閲覧します。今後ほかの講師に業務を委託する場合、その講師には守秘義務を含む行動規範への署名を求めます。
• There are currently no tutors based outside Japan. If a tutor based abroad is engaged in the future, sharing a student’s information with them would be a transfer of personal information to a third party in a foreign country. We would do this only with the parent’s consent given at sign-up and require that tutor to handle the information under this policy.現在、日本国外に居住する講師はいません。今後、海外在住の講師に業務を委託する場合、生徒の情報をその講師に共有することは、外国にある第三者への個人情報の提供にあたります。申込時に保護者の同意を得たうえでのみ行い、その講師には本ポリシーに沿った取り扱いを義務づけます。
• Service providers that process information on our behalf: Google Workspace (email, calendar, video and storage), and Netlify (website hosting and forms).業務委託先：Google Workspace（メール、カレンダー、ビデオ通話、保存）およびNetlify（ウェブサイトのホスティングとフォーム）。
• Authorities, where the law requires it.法令に基づき求められた場合の公的機関。

We do not share information with schools, universities or other families unless you ask us to in writing.書面でのご依頼がない限り、学校、大学、他のご家庭に情報を共有することはありません。

5. Students under 185. 18歳未満の生徒

We collect information about a student under 18 only with the consent of a parent or guardian, given at booking. Parents may withdraw consent at any time by email; the service then ends and the student's records are deleted as described in section 7. The student normally sees notes and summaries first; attendance, serious academic concerns and safeguarding issues are shared with parents regardless.18歳未満の生徒の情報は、予約時に保護者の同意を得たうえでのみ取得します。保護者はいつでもメールで同意を撤回できます。その場合サービスは終了し、生徒の記録は第7条のとおり削除します。生徒は通常、記録やまとめを最初に見ます。出席、学習上の重大な懸念、安全に関わる事柄は、それにかかわらず保護者に共有します。

6. How we protect it6. 安全管理

Records are stored in Google Workspace, protected by two-factor authentication, and accessible only to the person coordinating the service and the tutor assigned to the student. Alex currently carries out both roles. Tutors may not download student materials to personal devices beyond what a lesson requires, and must delete them when the engagement ends. Lessons are not recorded unless agreed in writing (section 8).記録は2要素認証で保護されたGoogle Workspaceに保存し、サービスの運営担当者と生徒の担当講師のみがアクセスできます。現在はアレックスが両方を担当しています。講師は授業に必要な範囲を超えて生徒の資料を個人の端末に保存してはならず、契約終了時に削除しなければなりません。授業は書面で合意した場合を除き録画しません（第8条）。

7. How long we keep it7. 保存期間

• Learning records and materials: deleted within 学習記録と資料：サービス終了後90 days90日 after the service ends, or sooner on request.以内に削除します。ご要望があればそれより早く削除します。
• Enquiries that do not become bookings: deleted within 予約に至らなかったお問い合わせ：12 months12か月.以内に削除します。
• Invoices and transaction records: kept for the period required by Japanese tax law (currently 7 years).請求書と取引記録：税法で定められた期間（現在7年間）保存します。

8. Recording8. 録画

Sessions are not recorded by default. If a family requests recordings, we agree in writing who may view them and when they are deleted. セッションは原則として録画しません。ご家族が録画を希望する場合は、閲覧できる人と削除の時期を書面で合意します。

9. Your rights9. 開示等の請求

You may ask us to disclose, correct, add to, delete or stop using the personal information we hold about you or your child. Email 保有する個人情報について、開示、訂正、追加、削除、利用停止を求めることができます。contact@undergradprep.education. We will confirm identity and respond within までメールでご連絡ください。本人確認のうえ、14 days14日. There is no charge.以内に対応します。手数料はかかりません。

10. Changes10. 改定

We will post any change here with a new effective date and, for material changes, email current families before the change takes effect.変更がある場合は新しい施行日とともにこのページに掲載し、重要な変更についてはご利用中のご家庭に事前にメールでお知らせします。
